Privacy notice

This page explains how information is handled when you ask for a tutor, register to teach, apply for a class or use the family portal.

Information you provide

  • Parents. The tutor request form asks for your name and phone number, an optional email, your child's name and grade, the subject and learning goal, individual or group lessons, in-person or online lessons, your area for in-person lessons and suitable times.
  • Tutors. Registration asks for your name, phone number, optional email, subjects and grades you teach, teaching areas, whether you teach online, availability, experience and any notes you add. Applying for a particular class also records the class, your response to its schedule and any alternative schedule you propose.
  • Family sign-in. You enter the email on your family record and the password set through the office. The system checks the password against a stored password hash, not a readable password. The office can also send you a one time sign in link, which works for seven days and once only; the system stores a hash of that link, not the link itself.

Please keep free-text answers relevant to arranging lessons or teaching. Do not include passwords or identity document numbers in these notes.

How the office uses it

Submitted details become learning requests, family and student records, tutor profiles or applications. The office uses them to contact you, understand learning needs and teaching experience, review applications and look for a suitable tutor or class. Phone numbers also help the system recognise an existing record or a repeated submission.

When lessons are arranged, the system also holds schedules, attendance, fees and recorded payments. Changes to operational records are recorded in an audit history.

Who can access records

Staff sign in to the office system. Permissions depend on their role: managers have administrative access, coordinators handle permitted day-to-day operations, and trainers have more limited permissions. Exports containing full contact details require manager permission.

The family portal is read-only. A signed-in parent can see the children linked to their family record, including those children's lessons, what was taught, the tutor's approved notes, attendance, the month calendar, fees and recorded payments. If you turn on alerts, the system also stores this phone's push subscription so it can tell you something changed; you can turn it off the same way. Each child's portal data is checked against the signed-in family.

Cookies and browser storage

The site uses these cookies for language choice and signed-in access:

  • sa_lang remembers English or Vietnamese. The same preference is also saved in local browser storage as sa-lang.
  • sa_parent identifies a signed-in family for the parent portal.
  • sa_session identifies signed-in staff for the office console.

The sign-in cookies are signed and are not readable by page scripts. You can clear cookies in your browser, but this may reset your language choice or require you to sign in again. You can also clear the saved language preference in browser storage.

Hosting and processing

The deployed website and API run on Cloudflare Workers, and application records are stored in Cloudflare D1. Cloudflare therefore processes website requests and stored data as part of providing this hosting infrastructure.

Questions about your information

Contact the office to ask about access to your information, a correction, deletion or how long records are kept. Explain which request, application or family record you mean. The office can discuss your request and any records that need to be retained; this page does not set a retention period or promise that every record can be deleted.
